Project Administrators/Coordinators and Monitors

JOB DESCRIPTION:

  • Assist the project team in the management of activities including financial, scheduling, risk management, planning and contracting aspects
  • Provide financial administrative support to suit the Department’s requirements
  • Assist with quality assurance and invoice verification and catching contract coding;
  • Establish project administration procedures
  • Provide admin and technical support to project team
  • Develop a document and records management system and control processes for project teams
  • Prioritize and assess urgency of incoming e-mails
  • Act as the first point of contact in a “hot line” situation by accepting incoming calls, logging calls, attempt to resolve problems and following established procedures for more difficult problems
  • Schedule meetings between Project Managers, contractors and clients
  • Participate in project meeting, prepare/distribute minutes and records of decision
  • Provide comprehensive project planning and monitoring, reporting using project plan format Maintain and update relevant project information in manual and /or electronic files; project information might include such things as project activity schedule, status reports, correspondence and financial databases
  • Assist with the review of project requirements with specialists, other authorities and stakeholders
  • Assist in the preparation and coordination of documentation in response to schedule and unscheduled reports to update management of project progress
  • Provide technical writing support for written reports and presentation decks
  • Assist in managing Requests for Information (RFI) procedures
  • Provide support to tendering and contracting processes. Supporting start-up construction process (preparation & meeting) by assisting in managing construction logistics: forecast, coordinate work, avoid disruptions to occupants
  • Provide support in the preparation of timely and accurate Contemplated Change Notices (CCNs) and Change Orders (Cos) for approval, tracking and communications
  • Supporting post-construction services and post-construction evaluations
  • Search and sort statistical data

JOB REQUIREMENTS: 

  • Must have experience performing most of the duties above for a period of 3-5 years

JOB DURATION: 1 year with possibility of extension
